Install the Ninja Forms plugin and create a new form

We will use a “Conference attendance registration” form to send the first-time attendee’s form data to the Zoho CRM database and submit the second-time attendee’s form data to the Ninja Forms database. This way, we can register first-time attendees as new leads in Zoho CRM.

First, install our free Ninja Forms core plugin (download) by navigating to your WordPress dashboard and clicking Plugins>Add New. Locate the Search Plugins field, type “Ninja Forms,” then click the Install Now button and activate.

Once the Ninja Forms plugin is installed, we create a “Conference Registration” form. Here is a detailed guide on how to create a new form.

For our conference registration form, we use the following fields:

  1. Informational fields
    • First Name
    • Last Name
    • Phone
    • Email
    • City
    • Country
  2. Single Line Text field and label it “Company Name.”
  3. Radio List field and give the label, “Is this the first time you’re attending our conference?” Make the field a required field and add two options. Connect Ninja Forms to Zoho CRM

Connecting Ninja Forms with Zoho CRM is easy. We’ll need:

  1. The WordPress form that we have created above, “Conference Registration Form,”
  2. A Zoho CRM account. If you already use Zoho CRM, that is great; you don’t need to create a new account. Otherwise, you can create a free Zoho CRM account.
  3. Ninja Forms Zoho CRM add-on.

Step 1: Install the Zoho CRM WordPress Plugin (Ninja Forms Zoho CRM add-on).

Ninja Forms Zoho CRM add-on will act as a bridge between Zoho CRM software and Ninja Forms. This WordPress add-on is availablein our PRO and Elite membership collections or can be purchased as single, five, or twenty-site licenses.

Here is a step-by-step guide on how to download and install the add-on.

Step 2: Link your Zoho CRM account to a WordPress form by creating a “connected app.”

Generate 3 values

To create a connected app, we will need to visit https://accounts.zoho.com/developerconsole and generate these 3 values:

  • Client ID
  • Client Secret
  • Authorization Code

Then we’re going to feed the three values to our WordPress form to connect the form and Zoho CRM.

  1. Head over to https://accounts.zoho.com/developerconsole and choose Client Type: Self Client, then click Create. You will receive a success notification message.
  2. On the Client Secret tab, you will find the client ID andclient secret. Copy both client ID and client secret to your WordPress form dashboard by going to Ninja Forms dashboard> Settings>Zoho CRM Setting.Easily Send WordPress Form Data to Different Destinations (No Coding) (2)

Please note that Zoho CRM settings are only available once you’ve installed our Zoho CRM WordPress plugin (Ninja Forms Zoho CRM add-on), as we did above.

Generate the authorization code

  1. Still on the Zoho interface, next to the Client Secret tab is the Generate Code tab; click it and input Scope to ZohoCRM.modules.all and Scope Description to Ninja Forms.Easily Send WordPress Form Data to Different Destinations (No Coding) (3)
  2. Click Create and copy the code produced to the WordPress form by heading over to theNinja Forms dashboard> Settings>Zoho CRM Setting>Authorization Code.
  3. Save the settings, and you can test your API authorization by clicking Click to test your Zoho connection. For a successful authorization, you will get a communication status as a requestaccepted by the API.

Add Zoho CRM form action and map the fields

Our WordPress form will send data to different locations, the Lead Module in Zoho CRM and Ninja Forms submission. We’ll set criteria that determine if the data is sent to Zoho CRM or the Ninja Forms database.

We want people to register for a conference. We’re asking them to fill out the basic information (names, phone number, email, company name, city, country) and one important question that will determine where the WordPress form data will be sent: “Is this the first time you’re attending our conference?”

When the answer is “yes,” then the submission is sent to Zoho CRM. If the answer is “no,” the form submission data is redirected to the Ninja Forms database.

Step 1: Add Form actions

For every Ninja Form created, there is a Submit button that is automatically created and records form submissions to the Ninja Forms database.

We’ll add another form action that will record the form data on the Lead Module in Zoho CRM. This is by going to the form’s Email & Action tab>Add New Action>Add to Zoho CRM. Now you have added another form action that will direct data to Zoho CRM.

Step 2: Map the WordPress form data fields to the Lead Module in Zoho CRM.

When you’re at the Add to Zoho CRM form action setting, on the Zoho Field Map, click the + to choose a form field. We start by picking the first name field. Next, on the Zoho Field, pick the Lead First Name field. By doing that, you have mapped the WordPress form’s first name field with the Zoho CRM Lead Module’s first name field. This makes it possible for the two fields to communicate and exchange data.

Please repeat the mapping field process for all the fields in the WordPress form.

Set a Conditional Logic to redirect on form submission

To set a conditional redirect in our WordPress form, we will need to install the Conditional Logic add-on (which is included in all of our Ninja Forms memberships or can be purchased individually). Once you have access to our Conditional Logic add-on, download and install it. Here is a step-by-step guide on how to download and install the extension. You know you have successfully installed the Conditional Logic add-on when you can see it on the advanced tab of the form.

Set form action to send form data to Ninja Forms Database

To set the Ninja Forms Conditional Logic add-on to redirect our form submissions, head over to the Emails & Actions of your WordPress Form. Then go to Record Submission Settings>Conditional Logic and set the conditional logic for the record submission form action as shown in the image.

If the answer to the question is “no,” the form submission is sent to the Ninja Forms database.

Next, move to the Add to Zoho CRM form action and set the Conditional Logic

If the answer to the question is “yes,” the form submission is sent to the Zoho CRM database.

That’s it! You have set your WordPress form submission to two destinations (Zoho CRM and Ninja Forms database).
